Many organizations have technology administration needs that do not require a dedicated full-time person. Support needs can vary from week-to-week, month-to-month or just depending on the state of the business. We at Howard custom fit our services to give you the help you need, when you need it and without the expense and hassle of hiring (and retaining) in-house support personnel. Whether it’s just a few hours every week or a few days every month, we can give you just the right amount of help for your business needs.

Integration

When a Howard Medical Cart is manufactured, we supply the customer the option of how much or how little they want to do to get that cart ready for “Go Live”. Getting one standard cart properly integrated can take your staff as long as 2 hours or as little as no time at all!
In-Factory Integration
Howard Medical integrates all carts in our manufacturing facilities prior to shipping. Said In-Factory Integration will include, but is not limited to:
  • Integration of computing devices, monitors, keyboards, mice, and Howard Medical purchased accessories
  • Possible integration of additional equipment not purchased through Howard Medical
  • Performance testing of integrated equipment and carts prior to shipping
Medical facility will assume all cost and responsibility in having all parts associated to setup and integrate the carts shipped to our manufacturing facilities. In-Factory Integration must be coordinated with both parties. Some minor assembly may still be required once carts arrive on-site.
 
On-site Setup and Integration
A Howard Medical Product Specialist will arrive on-site to setup and integrate all carts. Said On-site Setup and Integration will include, but is not limited to:
  • Unpacking the carts
  • Integration of computing devices, monitors, keyboards, mice, and Howard Medical purchased accessories
  • Performance testing of integrated equipment and carts
Medical facility should have all parts associated to setup and integrate the carts on-site before scheduling On-site Setup and Integration. On-site Setup and Integration must be coordinated with both parties. This pricing does NOT include any transportation of carts from a staging area to the unit. Medical facility must provide after-hours access to the carts for setup and integration.

Custom Imaging

Howard Medical understands that imaging computers can be time consuming. That’s why we offer to do it for you. With our In-Factory or On-site Custom Imaging, we take care getting your computing device setup and free-up your staff. Our imaging services are set up so that we can prepare and test your image prior to the computing devices going onto the carts, or more importantly onto the units. We work with your staff to iron out possible kinks so that the computers can simply be placed on the carts and be ready for action.
In-Factory Imaging
Howard Medical will image all computing devices prior to shipping equipment to the medical facility. Medical facility will assume all cost and responsibility in having all parts associated to In-Factory Imaging shipped to our manufacturing facilities. Howard Medical reserves the right not load the medical facilities’ encryption. All computing devices will be limited performance tested prior to shipping the medical facility. Pricing based per unit.
 
On-site Imaging
Howard Medical will image all computing devices at the medical facility. Medical facility will provide an adequate staging area for imaging to include minimum 10 AC outlets, 10 LAN jacks, proper lighting, heat/air, and after hours access to the imaging staging area. Howard Medical Howard Medical reserves the right not load the medical facilities’ encryption. All computing devices will be limited performance tested prior to releasing to the medical facility. Howard Medical will dispose of all trash at the completion of imaging. Pricing based per unit.

Training

In-Service Training per Cycle
Howard Medical will provide a minimum of one (1) Product Specialist on-site to train end-users on the features of the cart. Howard Medical will also observe and answer questions on the carts after the In-Service Training if applicable. Each training will last approximately 20-30 minutes. “Per Cycle” is defined as training the end-users during each shift on one ward or unit during the course of a 24-hour period. Maximum of three (3) shifts per cycle per ward. Pricing is based on a per cycle basis.
In-Service Training per Session
Howard Medical will provide a minimum of one (1) Product Specialist on-site to train end-users on the features of the cart. Howard Medical will also observe and answer questions on the carts after the In-Service Training if applicable. Each training will last approximately 20-30 minutes. “Per Session” is defined as training the end-users on one ward or unit only one time during the course of a 24-hour period. Maximum of six (6) sessions may be performed in a given 24-hour period. Pricing is based on a per session basis.
 
Technical Cart Training
Howard Medical will provide a minimum of one (1) Product Specialist on-site to train technical staff on the general engineering of the cart. Basic Troubleshooting, medical facility & Howard Medical maintenance responsibilities, and warranty information will also be covered during this training. Each training last approximately 2 hours and should be performed in a conference room or classroom setting. The medical facility is responsible for provided the cart to be used during the training. Maximum of twenty (20) people per training. Pricing is based per Technical Training session.
Technical Integration & Setup Training
Howard Medical will provide a minimum of one (1) Product Specialist on-site to train technical staff on best practices for integration and setup of the cart. If medical facility has all parts on-site and ready for integration, the Howard Medical Product Specialist will integrate and setup one (1) cart while the training class observes. After such time, the Howard Medical Product Specialist can observe the integration and setup as performed by the medical facility staff. The Howard Medical Product Specialist will be on-site for eight (8) business hours to provide this training. Maximum of twenty (20) people per training. Pricing is based per Technical Integration & Setup Training session.

Preventive Maintenance

all carts whether they’re Howard Medical’s or not, need Preventive Maintenance (PM) and occasional Battery Replacement to ensure your cart is ready and able when patient care calls. We’ve assembled a 65-point PM checklist that hits everything from cart, to power supply, to computing device, and peripherals to ensure your carts are in “tip-top” shape. Anything we find during our PM that falls under warranty and requires fixing, we’ll take care of while we’re on-site. If the item happens to not fall under warranty, we’ll let you know that too so that you can make arrangements for repairs ahead of time. When we’ve completed our PM, we’ll provide you with a report on each cart, the issues we addressed, and some pointers and recommendations for keeping your carts running at maximum functionality. Howard Medical offers various PM programs for you to choose from. Howard Medical recommends to any customer that purchases a significant number of carts to consider the total cost of ownership for these essential devices. The following table indicates the typical number of man-hours required for a hospital staff member to complete a full Preventive Maintenance and Battery Replacement task list. Keep in mind that this does not include any potential break/fix issue with the cart.
Preventive Maintenance
A Howard Medical Product Specialist will arrive on-site twice per year at a pre-determined interval to perform preventive maintenance on the Howard Medical carts. This service will include a complete 65-point checklist of all Howard Medical electrical and mechanical systems on the carts and the repair of those systems that are under warranty. The Product Specialist will also run a complete check of all Howard Medical related software as well as clean all exterior surfaces of the cart. Howard Medical will provide medical facility with a comprehensive report after each maintenance visit to include repairs and recommendations for future preventive maintenance.
 
Preventive Maintenance + Installation of Battery Purchased by Facility
A Howard Medical Product Specialist will arrive on-site twice per year at a pre-determined interval to perform preventive maintenance on the Howard Medical carts. This service will include a complete 40-point checklist of all Howard Medical electrical and mechanical systems on the carts and the repair of those systems that are under warranty. The Product Specialist will also run a complete check of all Howard Medical related software as well as clean all exterior surfaces of the cart. The medical facility shall purchase batteries and assume responsibility for the disposal of the used batteries. Howard Medical will provide medical facility with a comprehensive report after each maintenance visit to include repairs and recommendations for future preventive maintenance.

Mobile Product Specialist

We commonly refer to this as the “man in the van plan.” Simply put, this is an investment into the future of your project. After all, you may potentially adding hundreds of new pieces of equipment on-site and no new staff to take care of them. What an MPS does is provide a large multi-facility medical entity the reassurance of knowing that there will be minimal downtime associated with the carts and at the same time, comfort in knowing that if a cart ever does require repairs, it will be done as quickly and as thoroughly as possible by a certified Howard Medical Mobile Product Specialist.
Mobile Product Specialist
A Howard Medical Mobile Product Specialist (MPS) will be assigned exclusively to the medical facility to provide 2nd Business Day remedial maintenance. MPS will keep a daily log of maintenance tickets for medical facility review. The medical facility may be involved in assignment of tasks of the MPS at their discretion so long as all duties outlined in the Statement of Work are met and such tasks do not exceed 8 hours in a given 24-hour period. Howard Medical will provide the MPS with a van equipped and continually stocked with a mobile inventory of parts. All insurances and vehicle costs will be covered by Howard Medical.

Other Services

* Howard Medical may consider removal/disposal of any hard drives, computing equipments, or peripherals by a contracted 3rd party vendor. In such cases, Howard Medical assumes NO responsibility in ensuring that items are removed and/or disposed according to EPA, DoD, or HIPPA Standards.
Cart Inventory & Storage
Howard Medical will provide inventory and storage of additional carts (Maximum 30) at our plant in Ellisville, MS. Medical Center will be invoiced when carts are completed and moved to storage. Medical center will be responsible for shipping costs associated from storage to the medical center. Carts with be stored in a climate controlled environment.
Computer Swap-out
Howard Medical will provide a minimum of one (1) Product Specialist on-site to move new computing devices to their destination. Once at its destination, the Howard Medical Product Specialist will perform the following tasks:
  • Unpack the new computing device.
  • Uninstall and “set aside” the old computing device.
  • Integrate the new computing device
  • Perform basic testing procedures on the new computing device.
  • Remove any trash associated with the new computing device
Pricing does NOT include any data migration, integration of new or old peripherals, nor removal of old equipment. Pricing also does NOT include transporting any equipment to or from an off-site location.
 
Data Migration
Howard Medical will provide a minimum of one (1) Product Specialist on-site to perform data migration from an old computing device to a new computing device. Migration may include, but is not limited to:
  • Bookmarks
  • Formats
  • Folders
  • Applications
Howard Medical and medical facility must agree on how migration is to occur prior to purchasing this option. Programmatic data migration may involve many phases but it minimally includes data extraction where data is read from the old system and data loading where data is written to the new system. After loading into the new system, Howard Medical will perform data verification to determine whether data was accurately translated, is complete, and supports processes in the new system. Medical facility may be required to provide server space for said migration.
Removal of Old Equipment
Howard Medical will provide a minimum of one (1) Product Specialist on-site to remove old computing equipment and associated peripherals from their existing location to a location selected by the medical facility. Pricing does NOT include removal of the equipment transporting any equipment to an off-site location. Pricing also does NOT include removal/disposal of any hard drives, computing equipment, or peripherals to EPA, DoD, nor HIPPA Standards.
